How to use this manual

You do not need to read this front to back. Part 2 tells you what your role can do; find your role there, then jump to the parts it points at.

Three conventions run through every page:

One rule above all others

A button you can see is not a permission you have. LineCrew Pro checks every action again on the server, using your saved role and assignments. If a control refuses you, the fix is to change the saved permission — not to try again from a different screen.

Part 1

Getting started

What the system is for, how to get on it, and the handful of settings worth fixing on your first day.

1.1What LineCrew Pro does

LineCrew Pro is the record of what your crews were authorized to build, what they actually built, how long it took, and what it is worth. Those four facts are normally spread across a utility's packet, a Foreman's paper report, a timesheet, and a billing spreadsheet. Here they are one chain, and each link is checked against the one before it.

Figure 1.1 — The chain. Nothing downstream can be produced without the link before it: you cannot bill units that were never approved, and you cannot approve units against a work point the packet never authorized. Amber boxes are the two inputs that come from outside the office.

Read the chain backwards and you have the reason for most of the rules in this manual. Billing pulls only from approved reports, so a report sitting unreviewed is money not invoiced. Payroll pulls from the same reports, so the hours a Foreman types at the tailboard are the hours that get paid.

1.2Devices, browsers and installing

LineCrew Pro runs in a web browser. There is no app store download. It is built to work on a phone in a bucket truck and on a desktop in the office, from the same address and the same account.

  • Phone and tablet — Safari on iPhone/iPad, Chrome on Android. This is the layout Foremen use.
  • Desktop — any current Chrome, Edge, Safari or Firefox.

Put it on the home screen

Installing it gives you a full-screen app icon and makes offline JSAs reliable, because the browser keeps the app files on the device.

  1. iPhone / iPad — open the site in Safari, tap the Share icon, then Add to Home Screen.
  2. Android — open the site in Chrome, tap the ⋮ menu, then Add to Home screen or Install app.
Worth doing on day one

Do this before a crew's first field day, not during it. The offline JSA queue only works on a device that has already loaded and signed into the app at least once while it had service.

1.3Getting an account

There are two ways onto a company, and they are not equal. The invitation is the supported path; the company code is a fallback.

By invitation — preferred

  1. A leader opens Dashboard › Team › Invitations and chooses Invite Team Members.
  2. They enter the person's email address and choose Send Team Invitation.
  3. The person opens the emailed one-time link. It lands on Create Account & Join Company with the email already filled in and locked.
  4. They enter and confirm a password, and they are in — enrolled directly in the inviting company as a Foreman.

There is no company code to type and no choice about which company to join. That is the point: the link is bound to the email address it was sent to, so nobody lands in the wrong company.

By company code — fallback

Every company has an access code, visible at Team › Company Access Code. Someone creating an account manually can type it to join. Use it only when no invitation is in play — a shared code can be forwarded, and it does not carry the email binding that makes invitations safe.

If the code gets out

Choose Generate New Code on the same card. The old code stops working immediately. Anyone who already joined keeps their account.

New members always arrive as Foreman. Promotions happen afterwards, in Team — see 3.3.

1.4Signing in, MFA and passwords

Sign in with the email and password on the account. Leadership roles are then asked for a six-digit code from an authenticator app.

Setting up the authenticator

  1. When prompted, open your authenticator app (Google Authenticator, Microsoft Authenticator, 1Password, Authy — any TOTP app).
  2. Scan the QR code shown on screen, or type the setup key it offers.
  3. Enter the six-digit code the app generates to confirm enrollment.
Back up the authenticator

Store the factor in a password manager or an authenticator with encrypted backup. If you lose the only device holding it, recovery requires a verified support procedure — identity confirmed through two channels already on file, and approval from LineCrew Pro. It is deliberately slow. Avoiding it costs nothing; needing it costs days.

Forgotten password

  1. On the sign-in screen, type the account email and choose Forgot Password.
  2. Open the recovery email on the same device.
  3. Enter matching passwords of at least eight characters and save.

1.5Your profile

On the Dashboard, the card at the top carries your name and role. Choose Edit My Profile to change your display name or photo.

  • Take Photo uses the device camera; Choose Photo picks an existing JPG, PNG or WebP.
  • Nothing uploads until you choose Use This Photo.
  • Save My Profile commits the name change.

You cannot change your own role here. Roles are set by leadership in Team.

1.6Desktop view, dark mode and arranging tiles

Three display choices live on the Dashboard profile card. Each one saves on that device and applies across the whole app, for every role.

  • Desktop View switches a phone-shaped layout to the full desktop layout — useful on a tablet. Return to Mobile View puts it back.
  • Dark Mode / Light Mode toggles the Industrial Navy theme against the standard one.
  • Arrange Dashboard lets you drag the tiles into the order you actually use them, then Save Layout. Cancel discards the rearrangement.
For crews

Have Foremen drag JSA and Production & Reports to the top. Those are the two tiles they touch every single morning, and a tile they have to scroll for is a tile they will skip.

1.7Notifications

Push notifications are what turn a submitted report into something a General Foreman acts on the same day. They are set up per device, in the Notifications card on the Dashboard.

  1. Choose Enable Notifications and accept the browser's permission prompt.
  2. Choose Send Test Notification and confirm it arrives. If it does not, the permission was declined at the operating-system level — check the phone's notification settings for the browser or installed app.

What a General Foreman receives

A GF picks their own alert level in the same card, under Alert Choice:

  • Submitted only — one alert when a crew in their scope submits a report.
  • Submitted + reminders — the same, plus the scheduled daily nudges.

Choose the level and then Save Alert Choice.

When the reminders fire

At Admin Controls › Notification Reminder Times, set the Daily Report reminder and the JSA reminder to clock times that match how your crews actually run — a JSA reminder at 06:30 for a 07:00 start, a Daily Report reminder late enough that crews are off the road. Choose Save Reminder Times.

1.8Working without service

Crews lose signal. One thing survives it: the JSA.

Offline JSA Mode saves a complete JSA on the device and syncs it automatically when service returns. It works only if that device had already loaded the app while online — the session has to be cached before the signal drops.

Do not clear the browser until it syncs

An offline JSA lives in that one device's storage and nowhere else. Clearing browser data, signing out on a different device, or wiping the phone destroys it. Leave it alone until the app confirms the sync.

The offline queue covers JSAs only. Daily Reports are not queued offline in this release — a crew out of service should enter the Daily Report when they get signal back.

Part 2

Roles and permissions

LineCrew Pro has seven roles. Six of them form a ladder; the seventh stands beside it. Knowing where you sit tells you which of the remaining parts you need.

2.1The seven roles

Figure 2.1 — The ladder governs; Safety does not sit on it. A Safety user has deep access to safety records and almost none to production, pricing or payroll. Superintendent is the one rung whose reach is adjustable per person.

Owner

The single highest role in a company — there is exactly one, always. The Owner governs who holds which role and is the only role that can change an existing Admin. Note that "Owner" is a role inside the app; it does not have to be the legal owner of the business. A president, a VP or an operations principal commonly holds it.

Manager

Operationally the Owner's equal. A Manager can manage Manager, Admin and every lower role. What a Manager cannot do is touch the Owner: not change, suspend, replace, demote or assign that role. The database refuses it regardless of which screen it is attempted from.

Admin

Full operational administration — company settings, contracts, pricing, jobs, packets, payroll, billing. An Admin can promote an active lower-role member up to Admin, but cannot alter an existing Owner, Manager or fellow Admin, and cannot hand out Owner or Manager.

Superintendent

Starts with Admin-like breadth, then gets narrowed. Each capability is a separate switch an Owner, Manager or Admin can turn off for that one person. See 2.3.

General Foreman

Field supervision. A GF works a review queue of submitted reports from their assigned crews, approves or returns them, watches crew progress, and can manage the employee roster and their own time.

Foreman

The role every new member starts in. A Foreman sees the active jobs assigned to them and nothing else, completes JSAs, enters crew time and units, and submits the day.

Safety

A focused safety role: complete a digital JSA for any active company job, search and review JSA records, print and export them, file and investigate incident, near-miss and hazard reports, verify corrective actions, and enter their own time in My Time. Safety receives no production, pricing, payroll administration or Team administration.

Conditions behind the amber dots: a Superintendent depends on the matching capability being enabled (2.3); an Admin changing a role cannot touch an Owner, Manager or peer Admin; a Manager can assign Manager but never Owner.

2.3Superintendent capabilities

A Superintendent starts with everything and gets narrowed. On that person's card in Team › Team Members, each capability is a checkbox. Unchecking one removes that area for that person only.

How the default works

A capability that has never been touched counts as allowed. Only an explicit uncheck denies it. That is why a brand-new Superintendent has near-Admin reach before anyone configures anything — you restrict, you do not grant.

2.4Money visibility

Two separate switches decide whether a person sees dollars, and which dollars. They are set per person at Team › Money Visibility and apply to Foremen, General Foremen and Superintendents.

  • Actual Money — true contract prices from the Unit Pricing record.
  • Field Money — the same values run through the contract's field adjustment percentage, so crews can see a meaningful production number without seeing the contract.

Defaults: Foremen get Field Money only. General Foremen and Superintendents get both.

Set the percentage first

The field adjustment lives on the contract, not on the person. An Owner, Admin or authorized Superintendent edits the contract and sets the percentage. Verify that number before you turn Field Money on for a crew — every field dollar they see is derived from it.

The server returns only a basis you are allowed to see. This is not a screen filter: a Foreman without Actual Money never receives actual prices at all, on any screen or export.

2.5General Foreman crew scope

Assigning General Foremen to specific Foreman crews narrows what each GF is shown and what they are notified about. Their review queue, crew time views and completed-JSA scope all follow those assignments, and push notifications are genuinely routed by them.

It is a view filter, not a wall

Any active General Foreman can still read and approve another GF's crews' reports if they go looking. This is deliberate: General Foremen are treated as trusted peers inside one company, and the assignment table exists to keep each one's screens relevant. The real security boundary is the company, not the crew.

2.6Company separation

Every record in LineCrew Pro belongs to exactly one company, and that separation is enforced in the database itself rather than in the screens. A person signed into one contractor cannot read another contractor's jobs, reports, prices, employees or files — including through a direct request that bypasses the app entirely.

This matters for a practical reason: if you run more than one entity, they are separate companies here, with separate teams, separate pricing and separate billing. Someone who works for both needs an account in each.

Part 3

Setting up a company

First-week work, in the order that avoids rework. Each step depends on the one before it — build pricing before jobs, and jobs before you invite crews to report against them.

3.1Setup order

3.2Company Settings

Open Dashboard › Admin Controls › Company Settings.

  1. Enter the display name — what crews see in the header.
  2. Choose the time zone. Report dates and reminder times follow it.
  3. Set Workweek Starts On. This is the most consequential setting on the page: it is the boundary LineCrew uses to split Regular from Overtime hours, and it drives the monthly buckets in Crew Performance.
  4. Enter the company contact email and phone.
  5. Choose Choose Logo and pick a PNG, JPG or WebP.
  6. Pick the brand color.
  7. Choose Save Company Settings.

Your logo appears in the app header on desktop and mobile, and on printed Daily Reports. The LineCrew Pro product logo stays separate from it.

Required Man-Hour Rate

On the same screen, set a target MH rate in dollars. It colors the run-rate readouts crews and supervisors see:

  • Red — below 95% of target.
  • Yellow — 95% up to but not including target.
  • Green — at or above target.

Choose Save MH Rate Target. This is an operational rate, not payroll cost and not a profit guarantee — see 8.2.

JSA Method

Decide how your company does JSAs: the built-in digital JSA, an uploaded copy of your own paper form, or both. Choose the option and Save JSA Option. This controls which buttons crews see on the Safety screen.

Redline Approval

Tick Require General Foreman redline approval if a redline must be signed off before a report can be approved. With it on, a leadership override requires a recorded reason. Choose Save Redline Approval Setting.

Secure Support Access

A time-boxed switch that lets LineCrew Pro support view your company's data to help with a problem. Leave it off except while support is actively working an incident with you.

3.3Building the team

Open Dashboard › Team. It has three sections: Team Members, Invitations and Crews.

Changing someone's role

  1. Find the person's card under Team Members.
  2. Pick the new role in the Role dropdown.
  3. Choose Save Role.
  4. Tell them to refresh the page, or sign out and back in. A role change does not reach an already-open session.

Who may promote whom:

  • Owner or Manager — any role, including Manager.
  • Admin — may promote an active Foreman, GF, Superintendent or Safety up to Admin. May not touch an existing Owner, Manager or peer Admin, and may not assign Owner or Manager.
  • Superintendent with Role Management — General Foreman and Foreman only.
New Admins and MFA

A newly promoted Admin will be prompted to set up an authenticator on their next sign-in. Have them do it right away rather than at the moment they first need a protected screen.

Suspending and restoring access

Use Suspend Access on a member's card to switch their account off without deleting anything they have recorded. Restore Access turns it back on. You cannot suspend your own account, and you cannot suspend the Owner — ownership has to move first (3.4).

Crews

Choose Manage Foreman Crews to assign field employees to Foremen and to assign General Foremen to specific Foreman crews. Those assignments drive whose reports land in which GF's queue and which crew auto-populates a Foreman's Daily Report. Covered in detail at 3.7.

3.4Ownership

A company has exactly one Owner. There are three ways that role moves, and they exist for three different situations.

A — Claiming an empty Owner seat

If a company has no Owner at all, every active Admin sees Make Me Company Owner on the Team page. The first to choose it becomes Owner.

B — The Owner hands off

  1. The Owner opens Team › Team Members and finds an active Admin.
  2. Chooses Transfer Ownership on that person's card and confirms.

Both changes save together: the chosen Admin becomes Owner and the previous Owner becomes Admin. The company is never left without an Owner, not even for an instant.

C — The Owner has left

Who can start or confirm OWNMGRADMSUPGFFMSAF

When the registered Owner has left the company or cannot be reached, ownership moves by two approvals — never one.

  1. An active Admin, Manager, or Superintendent with Team Management opens Team and expands Remove the Owner (two approvals).
  2. They type a reason — it is recorded and shown to the Owner — and choose Request Owner Removal.
  3. The Owner is notified immediately, at the request, not at the end. If they are merely on vacation, they can stop it.
  4. A different Admin, Manager or Superintendent opens Team, reads the request, and chooses Approve & Remove Owner.
  5. The former Owner becomes an Admin. The company now has no Owner, so any active Admin chooses Make Me Company Owner.
The guardrails

The person who asked cannot be the person who confirms. The request expires after seven days. The Owner, the requester, and anyone eligible to confirm can all cancel it at any time with Cancel Request. One person acting alone can never remove an Owner.

3.5Customers and contracts

Open the Price Books tile. Despite the tile name, this workspace holds three things in a deliberate order: Customers / Utilities, then Contracts, then Unit Pricing.

The guided path is Set Up a Contract & Unit Pricing, which walks all three in one pass. Use Manage Existing Contracts only when editing something already saved.

  1. Step 1 — Choose the Customer / Utility. Pick an existing one and choose Use Selected Customer, or + Add New Customer and Save Customer.
  2. Step 2 — Add the Contract. Enter its name and details, including the field value adjustment percentage that drives Field Money. Choose Save Contract.
  3. Step 3 — Unit Pricing. Name the pricing record, give it an effective date, attach the CSV or Excel file, and choose Save Unit Pricing & Continue.
  4. Step 4 — Review & Finish. Choose Review Unit Pricing, confirm the imported rows look right, then Finish Contract Setup.

Customers and contracts can each be exported with Export Customers and Export Contracts.

3.6Unit Pricing

A Unit Pricing record is the priced list of contractor units for one contract: a unit code, a description, and prices for install and for retirement/removal.

Importing a pricing spreadsheet

  1. Open the Unit Pricing record and choose Import CSV / Excel, or drag the file onto the drop area.
  2. Select the worksheet if the workbook has more than one.
  3. On Match Spreadsheet Columns, map your columns onto Unit Code, Description, Install price and Retirement/Remove price, then Apply Column Mapping.
  4. Review the preview. Choose Import Valid Units to commit, or Cancel Import to back out. Nothing is saved until you confirm.

Versions

When a utility revises its prices, do not edit the existing record. Choose Duplicate as New Version, import the revised prices into the copy, and activate it with Change Status. The old version stays intact, so historical jobs keep the prices they were actually billed at.

  • Compare Versions shows what changed between two versions; Export Full Comparison CSV saves that comparison.
  • Edit Version Details changes the name and effective date without touching prices.
  • Create Inactive Version stages a future price list without putting it in play.
Why versions matter

Editing prices in place rewrites history. Every approved-but-unbilled unit on an open job would silently revalue, and a batch you already invoiced would stop reconciling. Duplicate, then edit the duplicate.

3.7Crews, employees and equipment

Field employees are not app accounts. They are roster entries with no login, managed at Timekeeping › Manage Foreman Crews.

Adding employees

  1. Choose Add Employee for one person, or Import Roster to upload a CSV or Excel list.
  2. Assign each active employee to a Foreman with Add to Crew.
  3. Optionally assign General Foremen to specific Foreman crews. GF review scope and completed-JSA scope follow this.

Once assigned, a new Daily Report auto-populates that Foreman's crew in Crew Time. A Foreman uses + Add Extra Man for someone helping that day, but cannot permanently reassign the company roster.

Trucks and equipment

  1. Open Truck / Equipment Roster in Timekeeping.
  2. Upload a CSV or Excel file of unit numbers. Matching units are updated; new ones are added.
  3. Assign a default unit to each employee.

Assigned equipment then fills Crew Time automatically. On any given day the Foreman can pick a different unit or tick Not used today. Equipment hours follow the person: if the operator works eight hours, their assigned unit logs eight hours.

Retiring a unit

Deactivate old equipment rather than deleting it. Saved units stay in the roster even when unassigned, and deleting one would orphan the history attached to it.

3.8Jobs and utility packets

Owner, Manager and Admin use Job Setup & Management. A General Foreman, and a Superintendent with the Jobs capability, use Jobs & Crew Progress.

Creating a job

  1. Choose + Create Job.
  2. Enter the job number and name, and select the correct Contract. The contract decides which Unit Pricing applies, so getting it wrong means repricing later.
  3. Optionally attach the Job Jacket / Utility Packet — a PDF, Excel or CSV.
  4. Choose Create Job. If a packet is attached, the job is created first and the packet review opens. Nothing imports until you confirm it.

Importing a utility packet

A packet is the utility's authorization: which work points, which unit codes, what quantities. It becomes the baseline everything else is measured against.

  1. On an existing job, choose + Add Job Jacket to Existing Job.
  2. PDF packets open a structured review. Excel/CSV packets open worksheet selection and column mapping — work point, description, unit code, work type, authorized quantities.
  3. Choose Preview Mapped Packet, check the rows, then Confirm Import.

Once confirmed, the packet feeds the Foreman's unit choices, drives Remaining Units, identifies redlines and pending-packet work, and drives the reported/approved/remaining progress numbers leadership sees.

Packet revisions

Each additional packet on the same job becomes Revision 1, Revision 2 and so on. Open View Revision Changes to compare authorized install and remove quantities by work point and contractor unit. Activating a newer revision supersedes and closes the prior active packet, so authorized quantities are never doubled. The old packet stays in history.

Assigning the job

  1. Open the job detail and find Assigned Foremen / Job Leaders.
  2. Select a Foreman or General Foreman and choose Assign Another Foreman / Leader. Repeat for each assignee.

View Assignment History records who assigned or unassigned each leader and when. A Foreman sees only active jobs assigned to them — an unassigned job is invisible to them, and a job nobody is assigned to cannot be reported against.

The most common setup mistake

A job is created and priced, but never assigned. The office sees it; the crew does not, and calls to say the job is "missing". Assignment is the last step of creating a job, not an afterthought.

Adding work points manually

Where there is no packet, use Add Work Point / Pole on the job to enter locations by hand. Production reported before any packet exists is allowed and is flagged as Pending Job Units — see 4.6.

Part 4

The daily cycle

The loop that runs every working day: a JSA before the first task, a report of what got built, and a supervisor's decision on it. Everything in Parts 7 and 8 is downstream of this.

4.2The morning JSA

Everyone can complete a JSA. Open the JSA tile. What you see depends on the JSA Method set in Company Settings.

The digital JSA

  1. Choose + Complete Digital JSA.
  2. Pick the job and confirm the date.
  3. Work through the form — the hazards, the tasks, the controls, the crew.
  4. Collect crew signatures on the device.
  5. Choose Save Morning JSA.

Uploading your own JSA form

If your company uses its own paper form, use + Upload Company JSA.

  1. Choose 📷 Take JSA Photo to photograph the completed sheet, or attach a PDF. Multiple photos are fine — a two-page form is two photos on one record.
  2. Confirm the job, date, crew and Foreman it belongs to.
  3. Choose Save Uploaded JSA.

Either way the record is stored with its job, date, crew and Foreman, so it can be found later by any of them.

Finding and exporting JSAs

The Safety screen lists saved JSAs with filters. Clear Filters resets them; Export Filtered CSV saves the matching list. Open any record to see the complete saved form, its signatures and its attached pages, and to print or save a PDF.

When there is no signal

If the device has already loaded the app while online, Offline JSA Mode takes over. The JSA is saved on the device and syncs automatically when service returns. Do not clear browser data before the sync confirms — see 1.8.

Safety program

LineCrew Pro records the JSA; it does not replace your safety program. Follow the contractor's program and whatever the utility and the jurisdiction require.

4.3Creating the Daily Report

Only a Foreman creates a Daily Report, and only for a job assigned to them.

  1. Open Production & Reports › + Create Daily Report.
  2. Choose the assigned job and the date.
  3. Choose Save & Add Units to create the draft and move straight into unit entry, or save the draft and come back.

A draft is private working state. Nothing reaches a supervisor until you submit.

4.4Crew time

The Crew Time table arrives pre-filled with the crew assigned to you. For each person:

  1. Enter Start and Stop in 24-hour time — 0630, not 6:30 AM.
  2. Enter Lunch in minutes.
  3. Confirm Per diem for the day.
  4. Confirm the Truck / Equipment unit, choose a different one, or tick Not used today.
  5. Use + Add Extra Man for another active employee who helped that day.

You do not type hours. LineCrew derives worked hours from start, stop and lunch, then recalculates Regular and Overtime across the whole workweek after you save — see 7.1.

Also on the report: weather and delay notes, and free-text notes for anything the office should know.

Enter time before units

Crew time takes a minute; units take longer. Getting the time in first means an interruption costs you the unit entry, not the payroll entry.

4.5Entering units

Units are recorded per work point — per pole or location — not as a daily total. That is what lets the office reconcile against the utility's packet later.

  1. In Manage Units, enter the pole or location.
  2. Enter the units completed there. Where a packet is loaded, Authorized Units From Job Jacket offers the unit codes that packet authorizes at that point.
  3. Choose Save Pole & Add Next and repeat for the next location.
  4. When the last pole is in, choose Done Adding Units.

Two conveniences: + Add 5 Unit Lines adds five blank rows at once for a heavy pole, and Saved Units / Add More Units let you go back into a draft you already started.

4.6Redlines and pending packet

Redline

A redline is production reported for a unit or quantity that the packet did not authorize at that work point. It is not an error and it is not blocked — field conditions change. It is flagged and kept visible so a supervisor deliberately decides on it.

A General Foreman, or leadership with Production Review, verifies the field change and approves or returns the report. If Company Settings requires GF redline approval, a leadership override needs a recorded reason.

Redlines and remaining quantity

A redline does not reduce the authorized remaining quantity at that work point, because it was never part of the authorization. It rides alongside — including into billing, where approved redlines always stay beside their work points.

Pending Job Units

Pending Job Units means production was reported before any utility packet was loaded for that job. This is allowed and normal on fast-start work. Once an Owner, Admin, or Superintendent with Job Packages imports the packet, LineCrew reconciles matching pole/location and unit codes automatically. Anything that does not match stays visible for review.

4.7Submitting

  1. Review the crew time, the units and the notes.
  2. Add any supporting files under Attachments.
  3. Choose Submit Report.

On submission the report enters the assigned General Foreman's review queue, and — where notifications are enabled — a push alert goes to that GF's phone.

What you can still delete

A Foreman may delete only their own draft that was never submitted. Once a report has been submitted it has an audit trail and cannot be deleted, even after it is returned. Corrections happen by editing and resubmitting.

4.8Review, approve and return

Open Production Review. Submitted reports from crews in your scope are listed; expand one to review it in full.

  • The complete Crew Time table — employee, Start, Stop, Lunch, Regular, OT, Total, Per diem and Equipment.
  • The units and poles, with redlines flagged.
  • Attachments and any exceptions the system raised.

Then choose Approve, or Return Report with correction notes. The owning Foreman is notified, fixes the returned draft and submits it again. Supervisors do not edit a Foreman's draft directly.

Archiving

Archive Report appears only on reports that are already approved. It files a report out of the active list, and Restore Report brings it back. Production history is preserved, and so is the crew time — archiving happens well after that week was paid, and removing those hours would stop historical pay periods reconciling with what actually went out.

4.9Remaining Units

A Foreman opens Remaining Units from the Dashboard to answer one question at the tailboard: what is left here? Select an assigned active job and search by Work Point.

The screen shows Authorized, Saved Draft, Awaiting GF, Approved and Remaining for install, transfer and remove work — with no contract prices. A Foreman can answer "what's left" without ever seeing what it pays.

The Foreman's tile is named differently

On a Foreman's Dashboard the Timekeeping tile reads Crew Time rather than Timekeeping / Roster. Same area, wording matched to what a Foreman actually does there.

Part 5

Role handbooks

One chapter per role. Each one answers the same four questions: what you are responsible for, what you do each day, which screens are yours, and where you will hit a wall.

5.1Foreman

What you are responsible for. The truthfulness of one day, on the jobs assigned to you: that a JSA was completed before work started, that every person's hours are right, and that every unit you claim was actually built at the work point you claim it at.

Your day

  1. Before the first task — open JSA and complete the JSA with the crew. Collect signatures.
  2. During the day — if you want to know what is left at a location, open Remaining Units and search the work point.
  3. End of day — Production & Reports › + Create Daily Report. Pick your job and the date.
  4. Crew Time — your crew is already listed. Enter Start and Stop in 24-hour time, Lunch in minutes, confirm per diem and the truck. + Add Extra Man for anyone borrowed that day.
  5. Units — one pole at a time. Save Pole & Add Next, repeat, then Done Adding Units.
  6. Notes and attachments — weather, delays, photos.
  7. Submit Report.

Your screens

  • JSA — complete and look up JSAs.
  • Production & Reports — create, edit and submit your Daily Reports.
  • Remaining Units — what is left, by job and work point.
  • Crew Time — review your crew's hours and per diem.

Every task a Foreman does, step by step

These are all of it. If a task is not on this list, it is not yours.

Task 1 — Complete the morning JSA

  1. Open the JSA tile.
  2. Choose + Complete Digital JSA, or + Upload Company JSA if your company uses its own paper form.
  3. Select the job and confirm the date.
  4. Work the form with the crew — hazards, tasks, controls, crew present.
  5. Collect crew signatures on the device.
  6. Choose Save Morning JSA (or Save Uploaded JSA).

Task 2 — Check what is left at a pole

  1. Open Remaining Units from the Dashboard.
  2. Pick the assigned active job.
  3. Type the work point in Search Work Point.
  4. Read Authorized, Saved Draft, Awaiting GF, Approved and Remaining. No prices appear — that is normal.

Task 3 — Start the Daily Report

  1. Open Production & Reports.
  2. Choose + Create Daily Report.
  3. Select the assigned job and the date.
  4. Choose Save & Add Units to create the draft and go straight to units.

Task 4 — Enter crew time

  1. Your assigned crew is already listed. For each person, enter Start and Stop in 24-hour time — 0630, not 6:30 AM.
  2. Enter Lunch in minutes.
  3. Confirm Per diem for that person for that day.
  4. Confirm the Truck / Equipment unit, pick a different one, or tick Not used today.
  5. Do not type hours. LineCrew derives them and splits Regular from Overtime after you save.

Task 5 — Add someone who is not on your crew today

  1. In Crew Time, choose + Add Extra Man.
  2. Pick the active employee from the list.
  3. Enter their Start, Stop, Lunch, per diem and equipment as usual.

This covers one day only. It does not move them onto your crew permanently — a leader does that.

Task 6 — Enter units, pole by pole

  1. Open Manage Units on the draft.
  2. Enter the pole or location.
  3. Enter the units completed there. Where a packet is loaded, pick from Authorized Units From Job Jacket.
  4. Need more rows for a heavy pole? Choose + Add 5 Unit Lines.
  5. Choose Save Pole & Add Next and repeat for the next location.
  6. When the last pole is in, choose Done Adding Units.

Task 7 — Record weather, delays and notes

  1. On the report, fill the weather / delay field if anything cost the crew time.
  2. Use notes for anything the office would otherwise phone you about.

Task 8 — Attach photos or documents

  1. Open the report and find Attachments.
  2. Add the file or photo.
  3. Use Print / Save PDF if you need a paper copy of the report.

Task 9 — Submit the day

  1. Re-read the crew time. This is what people get paid.
  2. Re-read the units against what the crew actually built.
  3. Choose Submit Report.

Task 10 — Fix a report that came back

  1. You are notified when a General Foreman returns a report.
  2. Open it and read the correction notes.
  3. Make the corrections in the draft.
  4. Choose Submit Report again.

A returned report releases its reserved quantities until you resubmit it, so another crew can claim those poles in the meantime.

Task 11 — Delete a draft you do not want

  1. Open the draft. It must be yours and must never have been submitted.
  2. Choose Delete Draft.

Task 12 — Report a hazard, near miss or incident

  1. Open the Safety Reports tile.
  2. Choose New safety report and pick the type.
  3. Set the event date and time — when it happened, not now.
  4. Link the job, or choose Not linked to a job.
  5. Describe it, attach photos, and save.

Task 13 — Check your crew's hours

  1. Open the Crew Time tile on your Dashboard.
  2. Set the date range and review hours and per diem for your crew.

Task 14 — Work with no signal

  1. Make sure the app has been opened on that device while online at least once.
  2. Complete the JSA as normal. Offline JSA Mode saves it on the device.
  3. When service returns, open the app on that same device and leave it open until sync confirms.
  4. Enter the Daily Report once you have signal — reports are not queued offline.

Where you will hit a wall

  • A job is not in your list. It is not assigned to you, or it is not active. Only a leader can assign it — see 3.8.
  • You cannot delete a submitted report. Only your own never-submitted draft. A returned report is corrected and resubmitted, not deleted.
  • You cannot see contract prices. By default you see Field Money only, and Remaining Units shows no prices at all. That is a per-person setting a leader controls.
  • You cannot change the company roster. Extra Man is for one day; permanent crew changes go through a leader.
The habit that prevents most returns

Enter crew time first, units second. And enter units by the pole you are standing at, not from memory at the end of the week — a redline you can explain the same day is a two-minute conversation; the same redline found in billing three weeks later is an afternoon.

5.2General Foreman

What you are responsible for. Clearing the review queue for your crews, every day. An unreviewed report is unpaid labor and unbilled work sitting still — you are the valve between the field and the office.

Your day

  1. Work the Production Review queue. Expand each submitted report.
  2. Check the Crew Time table line by line — Start, Stop, Lunch, Regular, OT, Total, per diem, equipment. This is what people get paid.
  3. Check the units and poles. Decide on any redline: did the field change justify it?
  4. Check attachments and any flagged exceptions.
  5. Approve, or Return Report with notes specific enough to act on — name the pole and the number, not "please fix".
  6. Enter your own hours in Timekeeping › My Time.

Your screens

  • Production & Reports — the review queue and crew progress.
  • Jobs & Crew Progress — create jobs, assign Foremen, watch progress across crews.
  • Crew Performance — My Crews by default; View All Company Crews widens it.
  • Timekeeping — My Time, the roster, and approving or reopening a pay period.
  • JSA — review completed JSAs within your scope.

Your scope

Your queue, your crew time views, your JSA scope and your push notifications all follow the Foreman crews assigned to you. That is a relevance filter rather than a wall — you can reach another GF's reports if you go looking, because General Foremen are treated as trusted peers inside one company. See 2.5.

Every task a General Foreman does, step by step

Task 1 — Work the review queue

  1. Open Production & Reports and go to Production Review.
  2. Expand a submitted report.
  3. Read the Crew Time table line by line — employee, Start, Stop, Lunch, Regular, OT, Total, Per diem, Equipment.
  4. Check the units and poles, and any flagged redline.
  5. Open Attachments and read any exceptions raised.

Task 2 — Approve a report

  1. With the report reviewed, choose Approve.
  2. It now counts in payroll, billing and reporting. Nothing else is needed.

Task 3 — Return a report

  1. Choose Return Report.
  2. Write correction notes that name the pole and the number — not "please fix".
  3. Confirm. The owning Foreman is notified and corrects their own draft.

You never edit a Foreman's draft. The record has to show who entered the numbers.

Task 4 — Decide a redline

  1. Open the report and find the flagged redline — work reported that the packet did not authorize at that point.
  2. Verify the field change actually happened.
  3. Approve the report, or return it, according to company policy.

If Company Settings requires GF redline approval, a leadership override needs a recorded reason.

Task 5 — Add and assign field employees

  1. Open Timekeeping › Manage Foreman Crews.
  2. Choose Add Employee for one person, or Import Roster for a CSV or Excel list.
  3. Choose Add to Crew to put each active employee on a Foreman.

Task 6 — Enter your own time

  1. Open Timekeeping › My Time and choose New Entry.
  2. Enter Start, Stop and Lunch.
  3. Under Charge To, pick an active job or an overhead code — Company Overhead, Administration, Travel, Training or Other.
  4. Choose Save Time.

You can also add another active employee to an entry, for someone who worked outside a Foreman's crew that day.

Task 7 — Approve or reopen a pay period

  1. Open Timekeeping and set the period's date range.
  2. Choose Review Exceptions and clear anything listed.
  3. Choose Approve Pay Period.
  4. If something needs changing afterwards, choose Reopen.

You cannot lock a period — that is Admin and above.

Task 8 — Create and assign a job

  1. Open Jobs & Crew Progress.
  2. Choose + Create Job, enter the job number and name, and select the correct Contract.
  3. Choose Create Job.
  4. Open the job detail, find Assigned Foremen / Job Leaders, pick the Foreman and choose Assign Another Foreman / Leader.

Task 9 — Watch crew performance

  1. Open Crew Performance. You see My Crews by default.
  2. Switch between Daily, Weekly, Monthly and Year to Date.
  3. Choose View All Company Crews to widen the comparison.

Task 10 — Set up your alerts

  1. On the Dashboard, open the Notifications card.
  2. Choose Enable Notifications and accept the browser prompt.
  3. Choose Send Test Notification and confirm it arrives.
  4. Pick Submitted only or Submitted + reminders, then Save Alert Choice.

Task 11 — Review completed JSAs

  1. Open JSA.
  2. Filter to the job, crew or date range you want.
  3. Open a record to read the full saved form, signatures and attached pages, then print or save a PDF.

Where you will hit a wall

  • You cannot edit a Foreman's draft. Return it with notes. The record has to say who entered the numbers.
  • You cannot correct submitted time. That is Owner, Manager or Admin, and it requires a written audit reason.
  • You cannot lock a pay period. You can approve and reopen; locking and unlocking are Admin and above.
Notifications are the job

Turn them on and pick your level in the Dashboard Notifications card. A GF working the queue from memory is a GF who will miss the Friday report that holds up a pay period.

5.3Superintendent

What you are responsible for. Whatever your company decided to give you. Superintendent is the one adjustable role: you start with near-Admin reach and your company turns individual areas off.

Find out what you actually have

Open your own card in Team › Team Members, or simply look at your Dashboard — a tile you do not see is a capability you do not have. The ten capabilities are listed at 2.3.

Your day, when everything is enabled

  1. Review submitted reports alongside the General Foremen (Production Review).
  2. Create and assign jobs; import utility packets and revisions (Jobs, Job Packages).
  3. Keep contracts and Unit Pricing current (Customers & Contracts, Price Books).
  4. Run production reporting and exports (Reporting).
  5. Manage invitations, access and crews (Team Management); promote GFs and Foremen (Role Management).
  6. Activate storm events (Storm Mode).
  7. Enter your own hours in My Time.

Every task a Superintendent does, step by step

Each task below needs its matching capability switched on. If a task's screen is missing from your Dashboard, you do not have that one.

Task 1 — Check which capabilities you hold

  1. Open Team › Team Members and find your own card, or simply look at your Dashboard tiles.
  2. Compare against the ten capabilities listed in 2.3.

Task 2 — Review and approve reports (Production Review)

  1. Open Production Review and expand a submitted report.
  2. Check crew time, units, poles, redlines, attachments and exceptions.
  3. Choose Approve, or Return Report with correction notes.

Task 3 — Create and assign jobs (Jobs)

  1. Open Jobs & Crew Progress and choose + Create Job.
  2. Enter the job number and name and select the correct Contract.
  3. Open the job and assign its Foreman under Assigned Foremen / Job Leaders.

Task 4 — Import a utility packet (Job Packages)

  1. On the job, choose + Add Job Jacket to Existing Job.
  2. PDF opens a structured review; Excel or CSV opens worksheet and column mapping.
  3. Choose Preview Mapped Packet, check the rows, then Confirm Import.
  4. For a later revision, repeat — and use View Revision Changes to compare before activating.

Task 5 — Maintain contracts and pricing (Customers & Contracts, Price Books)

  1. Open Price Books.
  2. To add work: Set Up a Contract & Unit Pricing and follow the four steps.
  3. For revised utility prices: open the pricing record, choose Duplicate as New Version, import into the copy, then activate it with Change Status. Never edit prices in place.

Task 6 — Run reporting and exports (Reporting)

  1. Open Production & Reports and pick a utility or cooperative.
  2. Filter by contract, job, status, dates, Foreman, crew, exception state or storm context.
  3. Choose Export Filtered CSV.

Task 7 — Manage team access (Team Management)

  1. Open Team.
  2. Use Invite Team Members and Send Team Invitation to add people.
  3. Use Suspend Access or Restore Access on a member's card — General Foremen and Foremen only.
  4. Use Manage Foreman Crews for crew assignments.

Task 8 — Promote or demote field supervision (Role Management)

  1. Open Team and find the person.
  2. Change the Role dropdown — you may only move people between Foreman and General Foreman.
  3. Choose Save Role and have them refresh or sign back in.

Task 9 — Run a storm event (Storm Mode)

  1. Open Admin Controls › Storm Mode.
  2. Tick Storm Mode enabled and name the event.
  3. Select the participating crews and Foremen.
  4. Choose Save Storm Mode Setting.

Task 10 — Enter your own time

  1. Open Timekeeping › My Time, choose New Entry.
  2. Enter Start, Stop, Lunch and a job or overhead code.
  3. Choose Save Time.

Where you will hit a wall

  • Role Management stops at General Foreman. Even with the capability, you can promote and demote GFs and Foremen only — never Admin, Manager or Owner.
  • You cannot correct submitted time or lock a pay period. Those stay with Owner, Manager and Admin regardless of capabilities.
  • Ask Sparky is not available to you. It is Owner, Manager and Admin only.
  • Money visibility is separate. Actual and Field money are their own per-person switches, not capabilities — see 2.4.

5.4Admin

What you are responsible for. Running the office side: the company's setup, its people, its pricing, its packets, its payroll and its billing. Most of Parts 3, 7 and 8 are written for you.

Your week

  1. Daily — clear anything still sitting in Production Review that the GFs have not reached.
  2. Daily — import any new utility packets or revisions so crews are reporting against current authorization.
  3. End of week — run the Time Report for the period. Work the exceptions. Correct what needs correcting, with a reason.
  4. End of week — approve the pay period, then lock it. Export the timesheets.
  5. Billing cycle — open Billing Exports, reconcile, create the batch, mark it submitted, then paid.
  6. As needed — invitations, role changes, money visibility, Company Settings, closing finished jobs.

Your screens

  • Admin Controls — Company Settings, MH rate, JSA method, reminder times, redline approval, storm mode.
  • Team — invitations, roles, access, crews, money visibility.
  • Price Books — customers, contracts, Unit Pricing and versions.

Every task an Admin does, step by step

Task 1 — Configure the company

  1. Open Admin Controls › Company Settings.
  2. Set display name, time zone, contact email and phone.
  3. Set Workweek Starts On — this drives every Regular/Overtime split.
  4. Choose Choose Logo and the brand color.
  5. Choose Save Company Settings.
  6. Set the Required Man-Hour Rate and choose Save MH Rate Target.
  7. Choose the JSA Method and Save JSA Option.
  8. Set the Notification Reminder Times and Save Reminder Times.
  9. Decide Redline Approval and Save Redline Approval Setting.

Task 2 — Invite someone

  1. Open Team › Invitations.
  2. Choose Invite Team Members and enter the email.
  3. Choose Send Team Invitation. They arrive as a Foreman.

Task 3 — Change a role

  1. Open Team and find the person's card.
  2. Pick the new role in the Role dropdown.
  3. Choose Save Role.
  4. Have them refresh or sign out and back in.

You may promote an active Foreman, GF, Superintendent or Safety up to Admin. You cannot alter an existing Owner, Manager or peer Admin.

Task 4 — Set money visibility

  1. First confirm the contract's field adjustment percentage is correct.
  2. Open Team › Money Visibility on the person's card.
  3. Tick Actual Money and/or Field Money.
  4. Save, and have them refresh.

Task 5 — Restrict a Superintendent

  1. Open the Superintendent's card in Team.
  2. Untick the capabilities they should not have. Unticked means denied; untouched means allowed.
  3. Save.

Task 6 — Suspend or restore an account

  1. Open Team and find the member.
  2. Choose Suspend Access, or Restore Access to bring them back.

Task 7 — Set up a contract and its pricing

  1. Open Price Books and choose Set Up a Contract & Unit Pricing.
  2. Choose or add the customer, then Use Selected Customer.
  3. Enter the contract and its field adjustment percentage; Save Contract.
  4. Name the pricing record, set its effective date, attach the CSV or Excel; Save Unit Pricing & Continue.
  5. Map the columns, review the preview, choose Import Valid Units.
  6. Choose Finish Contract Setup.

Task 8 — Version pricing when the utility revises rates

  1. Open the current Unit Pricing record.
  2. Choose Duplicate as New Version.
  3. Import the revised prices into the copy.
  4. Use Compare Versions to check what moved.
  5. Activate it with Change Status.

Task 9 — Create a job and load its packet

  1. Open Jobs & Work Points, choose + Create Job.
  2. Enter the number and name; select the correct Contract.
  3. Attach the Job Jacket / Utility Packet if you have it, and choose Create Job.
  4. Map and confirm the packet with Confirm Import.
  5. Assign the Foreman under Assigned Foremen / Job Leaders.

Task 10 — Load a packet revision

  1. On the job, choose + Add Job Jacket to Existing Job and import the new packet.
  2. Choose View Revision Changes and compare authorized quantities by work point.
  3. Activate it. The prior packet is superseded and closed, so quantities are never doubled.

Task 11 — Build the employee and equipment rosters

  1. Open Timekeeping › Manage Foreman Crews.
  2. Use Add Employee or Import Roster, then Add to Crew.
  3. Open Truck / Equipment Roster, upload the unit-number file, and assign defaults to employees.
  4. Deactivate retired units rather than deleting them.

Task 12 — Run the weekly Time Report

  1. Open Timekeeping and set From and Through, or choose Last Week.
  2. Review Start, Stop, Lunch, Regular, OT, Total, Per diem, Equipment and the job or overhead charge.
  3. Check the Overhead Charge Summary.
  4. Choose Review Exceptions and clear everything listed.

Task 13 — Correct submitted time

  1. Find the row and choose Edit Submitted Time.
  2. Make the correction.
  3. Type a reason for correction — required, and kept permanently.
  4. Save. Expect Regular and Overtime to move across that employee's whole week.

You cannot correct your own time. Someone else has to.

Task 14 — Close a pay period

  1. Clear all exceptions.
  2. Choose Approve Pay Period.
  3. Choose Lock Pay Period. Approval alone will silently reopen if anyone edits an entry.
  4. Export with Export Excel Timesheet, Export PDF Timesheet or a custom format.

Task 15 — Pull up an old pay period

  1. Open Pay Period History / Archived Timesheets.
  2. Filter by Year, From, Through or Status and choose Search.

Task 16 — Bill a job

  1. Open Jobs & Work Points and choose Billing Exports.
  2. Read the reconciliation: Authorized, Approved, Previously Billed, Billing Adjustments, Approved Unbilled, Remaining.
  3. Leave Final Bill unchecked while the job is active.
  4. Choose Create Billing Batch.
  5. Record the utility invoice reference and notes; choose Save Billing Details.
  6. Attach documents with Upload Attachment.
  7. Export the batch, then Mark Submitted and later Mark Paid.

Task 17 — Correct a batch

  1. Open the batch and choose Create Billing Adjustment.
  2. A full adjustment keeps the paid batch locked, records a negative entry, and returns those units to Approved Unbilled.
  3. To void a submitted batch, enter a correction reason first, then Void Batch.

Task 18 — Close a finished job

  1. Open the job and choose Close Job.
  2. LineCrew checks for a paid Final Bill, approved unbilled production and pending reports.
  3. A clean job closes and locks against new Daily Reports.
  4. If something is unresolved, only the Owner can override. Ask them.

Task 19 — Share with a utility

  1. Open the Utility Portal tile.
  2. Choose Create Utility / Cooperative Access and name the organization.
  3. Select contracts and choose Create & Share Selected Contracts.
  4. Choose Send Invitation for their people.

Where you will hit a wall

  • You cannot alter an Owner, a Manager, or a peer Admin. The Role dropdown will not offer it, and the database refuses it from any other route.
  • You cannot assign Owner or Manager. Owner moves only by the three paths in 3.4.
  • You cannot authorize an unresolved-work job close. Only the Owner can override that check.
  • The subscription is the Owner's. Billing for LineCrew Pro itself is not yours.
The Admin's standing rule

Never edit a Unit Pricing record in place to reflect a utility's new prices, and never edit an approved report's numbers to make billing balance. Duplicate the pricing version; use a billing adjustment. Both leave the history intact, and the history is what you will be asked for.

5.5Manager

What you are responsible for. Operational oversight at the Owner's level, without the Owner's governance. Everything in the Admin chapter applies to you, plus two things an Admin cannot do.

What you have beyond Admin

  • You can manage other Managers and Admins, including changing an existing Admin's role — a thing an Admin cannot do to a peer.
  • You can assign the Manager role.

The one hard boundary

The Owner is out of reach

You cannot change, suspend, replace, demote, transfer or assign the Owner. This is enforced in the database, not the screen — there is no alternative route, no API call, and no workaround. If the Owner has left the company, use the two-approver removal at 3.4; you may start it or confirm it, but never both.

Otherwise: read the Admin chapter (5.4) as your own. Your day is the same day.

Every task a Manager does, step by step

Everything in the Admin task list (5.4) is yours, run exactly the same way. These two are the additions.

Task A — Change an existing Admin's role

  1. Open Team and find the Admin's card.
  2. Pick the new role in the Role dropdown — an Admin cannot do this to a peer; you can.
  3. Choose Save Role and have them sign back in.

Task B — Assign or remove the Manager role

  1. Open Team and find the person.
  2. Choose Manager in the Role dropdown, or move an existing Manager to another role.
  3. Choose Save Role.

Task C — Start or confirm an Owner removal

  1. Open Team and expand Remove the Owner (two approvals).
  2. Either write a reason and choose Request Owner Removal, or read someone else's open request and choose Approve & Remove Owner.
  3. You may do one of those, never both on the same request.

Everything else about the Owner — changing, suspending, replacing, demoting, transferring, assigning — is refused at the database.

5.6Owner

What you are responsible for. Governance. Everything an Admin and a Manager can do, plus the decisions that only one person in the company is allowed to make.

Owner is a role, not a title

The app's Owner does not have to be the legal owner of the business. It is whoever holds governance of the LineCrew Pro company — commonly a president, a VP, or an operations principal. There is exactly one, always.

What only you can do

  • Change an existing Admin's role. Admins cannot alter each other.
  • Assign or remove the Manager role.
  • Transfer ownership to another active Admin, with Transfer Ownership.
  • Authorize an unresolved-work job close. When a job has approved unbilled production or pending reports, only you can override — and the reason plus a billing and report snapshot are recorded permanently.
  • Hold the LineCrew Pro subscription and its billing account.

Your setup checklist

  1. Company Settings, especially Workweek Starts On and the Required MH Rate.
  2. Decide the JSA method and whether GF redline approval is required.
  3. Appoint at least two Admins. One Admin is a single point of failure for everything in 5.4.
  4. Set money visibility deliberately for every Foreman, GF and Superintendent.
  5. Set the notification reminder times to match how crews actually run.
  6. Make sure your own authenticator is backed up.
Plan your own absence

If you leave or become unreachable, the company recovers by two-approver removal — which needs two eligible people who are not the same person. A company with one Owner and one Admin cannot run that path. Keeping a second Admin or a Manager on the books is what makes your absence survivable.

Every task an Owner does, step by step

Every Admin task (5.4) and every Manager task (5.5) is yours. These are the ones only you can run.

Task A — Change an existing Admin

  1. Open Team and find the Admin's card.
  2. Pick the new role and choose Save Role.

Task B — Assign or remove a Manager

  1. Open Team, find the person, choose Manager in the Role dropdown.
  2. Choose Save Role.

Task C — Hand ownership to someone else

  1. Make sure the person is an active Admin first — promote them if not.
  2. Open Team and find their card.
  3. Choose Transfer Ownership and confirm.
  4. They become Owner; you become Admin. Both changes save together.

Task D — Stop an Owner removal request against you

  1. You are notified the moment a request is made.
  2. Open Team. The open request is shown with who asked and why.
  3. Choose Cancel Request.

Task E — Override a job close

  1. Open the job and choose Close Job.
  2. If approved unbilled production or pending reports are found, the override is offered to you alone.
  3. Enter the reason. It is recorded permanently, along with a billing and report snapshot.

Task F — Manage the subscription

  1. Open the LineCrew Pro Subscription tile from the Dashboard.
  2. Manage the plan and billing details for the app itself. No other role can reach this.

Task G — Turn support access on and off

  1. Open Admin Controls › Secure Support Access.
  2. Switch it on only while LineCrew Pro support is actively working an incident with you.
  3. Switch it off when the incident closes.

5.7Safety

What you are responsible for. The company's safety record: JSAs, incidents, near misses, hazards, and the corrective actions that close them out. Safety is not a rung on the management ladder — deep in one area, deliberately shallow everywhere else.

What you can do

  • Complete a full digital JSA for any active company job — not only assigned ones.
  • Search, review, print and export JSA records across the company.
  • File and investigate incident, near-miss and hazard reports.
  • Assign and verify corrective actions.
  • Attach photos and supporting files as evidence.
  • Enter your own hours through Timekeeping › My Time.

Your day

  1. Open the Safety Reports tile and work Needs attention and Overdue first.
  2. Open any report that is still under investigation, record findings, and set or update its corrective actions.
  3. Verify actions that crews report as complete, and add verification notes.
  4. Spot-check the day's JSAs from the JSA tile.
  5. Enter your own time in My Time.

Every task a Safety user does, step by step

Task 1 — Complete a JSA for any active job

  1. Open the JSA tile.
  2. Choose + Complete Digital JSA.
  3. Pick any active company job — you are not limited to assigned ones.
  4. Complete the form, collect signatures, and choose Save Morning JSA.

You cannot use + Upload Company JSA — uploading company JSA files is not a Safety permission.

Task 2 — Find and export JSA records

  1. Open JSA.
  2. Filter by job, date, crew or Foreman. Clear Filters resets.
  3. Open a record to read the full form, signatures and pages.
  4. Use Print / Save PDF for one record, or Export Filtered CSV for the list.

Task 3 — Correct a JSA

  1. Open the JSA record and choose Edit JSA.
  2. Make the correction and save.
  3. Read the change history beneath the form — it lists only the fields that actually changed.

If the save is refused because someone else edited it, close the form, reopen it, and redo the change.

Task 4 — File a safety report

  1. Open the Safety Reports tile.
  2. Choose New safety report.
  3. Pick the type — incident, near miss or hazard.
  4. Set the event date and time to when it happened.
  5. Link the job, or choose Not linked to a job.
  6. Describe what happened in enough detail to stand alone in six months.
  7. Attach files under Photos & supporting files and save.

Task 5 — Work the backlog

  1. Open Safety Reports.
  2. Filter to Needs attention, then Overdue. Work those first.
  3. Page through with Previous and Next.

Task 6 — Investigate a report

  1. Open the report and choose Edit / investigate.
  2. Record findings and causes.
  3. Choose Add evidence to attach photos or documents as you go.
  4. Save. Every change is recorded in Change history.

Task 7 — Set a corrective action

  1. Open the report and find Corrective actions.
  2. Describe the action.
  3. Name the responsible Safety team member.
  4. Set a due date. Past it, the action shows as Overdue.
  5. Save.

Task 8 — Verify and close an action

  1. Open the report's corrective action.
  2. Check the work was actually done.
  3. Update the action status.
  4. Write safety verification notes — what you checked and how.
  5. Save. The report leaves Needs attention once nothing is open.

Task 9 — Enter your own time

  1. Open Timekeeping › My Time and choose New Entry.
  2. Enter Start, Stop and Lunch.
  3. Under Charge To, pick a job or an overhead code.
  4. Choose Save Time.

Where you will hit a wall

  • No production. You cannot create or review Daily Reports, and you do not see crew production.
  • No pricing, no payroll administration, no Team administration.
  • No job creation or editing, and you cannot upload company JSA files.
  • No Ask Sparky.
Everyone can file, you close

Every role in the company can complete a JSA and file a safety report — that is deliberate, because the person who sees the hazard should not have to find you first. Your job is the half that follows: investigation, corrective action, verification. The audit trail in 6.4 is what proves that half happened.

Part 6

Safety

JSAs are covered in 4.2 because they happen every morning. This part is the rest of the safety record: what gets filed after something goes wrong, and what proves it was closed out.

6.1The Safety workspace

Open the Safety Reports tile. Every active member of the company can open it, file a report, and read what has been filed. That is intentional: the person who sees a hazard should not have to find a supervisor before recording it.

The workspace opens on Recent reports, with filters across the top:

  • Status — including Needs attention and Overdue, which are where you start.
  • Type — incident, near miss, hazard.
  • Actions — filter to reports with open corrective actions.

Use Previous and Next to page through, and Refresh to pull the latest.

6.2Filing a safety report

  1. Choose New safety report.
  2. Pick the type — incident, near miss, or hazard.
  3. Set the event date and time. This is when it happened, not when you are typing.
  4. Link it to a job, or choose Not linked to a job if it happened at the yard or in transit.
  5. Describe what happened, in enough detail that someone reading it in six months understands it without asking you.
  6. Attach photos or files under Photos & supporting files.
  7. Save.
File it now, complete it later

A thin report filed the same hour beats a thorough one written next week. Save what you know, then use Edit / investigate to fill in the rest — every change is tracked, so nothing is lost by starting early.

6.3Corrective actions

A corrective action is the commitment that comes out of a report — the thing that stops it happening again. Open a report and use Corrective actions.

  1. Describe the action.
  2. Name the responsible Safety team member.
  3. Set a due date. Past it, the action shows as Overdue and the report surfaces in that filter.
  4. When the work is done, update the action status and add safety verification notes — what was checked, and by whom.

Reports with open actions stay in Needs attention. That list is the safety backlog; an empty one means every finding has been closed and verified.

6.4Evidence and the audit trail

Choose Add evidence on a report to attach photos or documents at any point — during the investigation, and again at verification.

Every report carries a Change history. It lists what changed, when, and who changed it, field by field. Nothing is silently overwritten: if a date, a description or a status is corrected, the record shows both the old value and the new one.

Why it is open to everyone

Submitted safety records can be seen and edited by any active member of the company, with every change tracked. The alternative — locking records to their author — produces reports nobody can correct and details nobody can add. The audit trail is what makes the open model safe.

Evidence uploads and deletions are recorded too, so a file that was attached and later removed leaves a trace.

6.5Correcting a JSA

A JSA that was saved with a mistake can be corrected. Open the JSA record and choose Edit JSA.

  1. The form opens over the JSA's descriptive fields, loaded fresh from the record.
  2. Make the correction and save.
  3. The change history beneath the form lists only the fields that actually changed, newest first. A field that was blank and is now filled reads as (empty) on the old side.
Signatures carry forward

Crew signatures stay attached across an edit. That is why the change history sits directly under the form rather than tucked away: if you need to answer "what did the crew actually sign", the list of what changed since is right there.

If two people have the same JSA open and both save, the second save is refused rather than silently overwriting the first. Close the form, reopen it, and redo the change against the current version.

Part 7

Time and payroll

Hours enter the system once — in the field, on the Daily Report — and everything downstream is derived from them. That single rule explains most of this part.

7.1How hours are derived

Nobody types "8 hours". A Foreman types Start, Stop and Lunch. LineCrew derives worked hours from those three, and then — after the save — recalculates Regular and Overtime across the whole workweek for that employee.

The week boundary is Company Settings › Workweek Starts On. Change that setting and every subsequent recalculation moves with it.

Why overtime moves when you fix a Tuesday

Overtime is a property of the week, not the day. Correct four hours off a Tuesday entry and the system reallocates Regular and Overtime across that employee's whole week — Friday's overtime may become regular time. This is correct behavior, not a bug, and it is why the total is what you reconcile against, never a single day's split.

There is a ceiling: a single person cannot be recorded for more than 24 hours on one calendar day. An entry that would push them past it is refused.

7.2My Time

Leadership and Safety do not appear on a Foreman's crew, so they record their own hours at Timekeeping › My Time.

  1. Choose New Entry.
  2. Enter Start, Stop and Lunch.
  3. Under Charge To, pick either an active job or an overhead labor code: Company Overhead, Administration, Travel, Training or Other.
  4. Add notes if the charge needs explaining.
  5. Choose Save Time.

Regular and Overtime recalculate across the company workweek exactly as they do for crew time.

  • A General Foreman can add another active employee to an entry — useful when someone worked outside a Foreman's crew that day.
  • An Admin uses My Admin Time Roster to keep a persistent list of assigned people and enter their time.
  • Recent My Time lists your entries, with Edit and Cancel Edit.

7.3Equipment hours

Equipment hours are not entered separately. A unit logs the hours of the person it is assigned to. If the operator works nine and a half hours, their assigned truck logs nine and a half hours on that job.

That means equipment hours are always consistent with payroll, and a correction to someone's time carries to their equipment automatically. The Foreman's only decisions each day are which unit was used, or whether to tick Not used today.

In Timekeeping, the equipment hours card sits below the report list and uses the same date range. Set the dates, read the totals by unit, and export to CSV when you need them for a utility or an internal cost report.

7.4The Time Report

Open Timekeeping and set the date range with From and Through, or use the shortcuts — Last Week, Custom Dates.

Each row carries employee, Start, Stop, Lunch, Regular, OT, Total, Per diem, Equipment, and the job or overhead code it was charged to. Filters narrow by crew, employee, job, overhead code and status. Expand All and Collapse All control the detail.

There is also an Overhead Charge Summary, which is where you find out how much of the week went to Travel or Training rather than to a job.

Exceptions

Choose Review Exceptions before you approve anything. Exceptions are the entries that look wrong — missing stops, impossible spans, hours that do not line up with the report they came from. Clearing them is the last step before approval. No Timekeeping exceptions found is the message you want.

7.5Correcting submitted time

  3. Type a reason for correction. It is required, and it is kept.

Two things stay true afterwards. You cannot correct your own time this way — someone else has to. And the source Daily Report stays exactly as the Foreman left it, submitted or approved; the correction is recorded against the time entry, not rewritten into the field record.

7.6Pay periods

  • Lock / Unlock — Admin, Manager or Owner only. Use Lock Pay Period and Unlock.
Approve, then lock

An approved period that is not locked will quietly reopen the moment anyone edits an entry in it — including an edit made for an entirely different reason. If the numbers are final, lock them. Locked time cannot change until it is explicitly unlocked.

7.7Exports and history

Payroll & Timesheet Export supports Excel, PDF, CSV and custom formats:

  • Export Excel Timesheet — the working spreadsheet.
  • Export PDF Timesheet — the printable copy.
  • Custom export — build a column layout that matches whatever your payroll service expects.

Pay Period History / Archived Timesheets searches saved periods by year, date range or status, so a closed period can be pulled back up without reopening it. Filter with Year, From, Through and Status, then Search.

Part 8

Money and reporting

What approved work is worth, how fast it is being produced, and how it gets invoiced to the utility.

8.1Production reporting

Open Production & Reports. Leadership sees a directory of Utilities / Cooperatives rather than a flat list of thousands of reports. Choose one to open its Utility Production workspace, which shows contract totals and lets you narrow by:

  • contract, job, status and date range
  • Foreman and crew
  • exception or completion state
  • storm context

Production Reporting recalculates for whatever the filters currently return, and Export Filtered CSV downloads that same set as a report summary. Open any job to read its individual Daily Reports.

Use Export Job Progress from the Jobs screen for a progress export, and Print / Save PDF on a report for a printable copy carrying your company logo.

8.2Crew Performance and the MH rate

Open Crew Performance. It compares approved unit revenue and Man-Hour Run Rate across four views: Daily, Weekly, Monthly and Year to Date.

  • Weekly — one crew per row, one column per day, plus a week total.
  • Monthly — one crew per row in company-workweek buckets, plus a month total. Those buckets follow Company Settings › Workweek Starts On.

Only approved, non-archived Daily Reports count. A General Foreman sees My Crews by default and can choose View All Company Crews; Manager, Admin and Owner see company crews; a Superintendent's access depends on their capabilities.

What the numbers mean

Use the Management / Field Adjusted toggle when you are allowed both bases. Management pricing requires Actual Money; Field Adjusted requires Field Money; the server returns only a basis you are permitted.

What the MH rate is not

It is an operational production rate — dollars of approved unit value per crew hour. It is not payroll cost, not margin, and not a guarantee of profit. Treat it as a pace indicator against the target set in Company Settings, and nothing more.

8.3Billing exports

Reading the reconciliation panel

Creating a batch

  1. Review the reconciliation. Approved Unbilled is what will go on the batch.
  2. Leave Final Bill unchecked while the job is still active — batches number themselves Partial Bill 1, 2 and so on.
  3. Choose Create Billing Batch.
  4. Save the utility invoice or reference number, payment reference and notes with Save Billing Details.
  5. Attach supporting documents under Billing Attachments with Upload Attachment.
  6. Export: Export Complete Excel, Export Complete PDF, Export Excel, Export CSV, Print / Save PDF, or Download Full Archive.
  7. Track it with Mark Submitted, then Mark Paid.

Ticking Final Bill makes LineCrew check for remaining work and pending reports. If anything is unresolved it requires an override reason before it will proceed.

Adjustments and voids

Choose Create Billing Adjustment to correct a batch. A full adjustment keeps the paid batch locked, records a separate negative entry, and returns its units to Approved Unbilled so they can be rebilled later.

Void Batch is available for submitted batches and requires a correction reason first.

Redlines in billing

Approved redlines always appear beside their work points in the export. The summary checkbox only adds an extra Redlines sheet or PDF section — it does not move them, and unticking it does not hide them from the main body.

Billing Batch History lists every batch, and Back to Batches returns from a batch detail.

8.4Closing a job

Finished commercial work should be closed or archived, not deleted.

  1. Choose Close Job. LineCrew checks for a paid Final Bill, approved unbilled production and pending Daily Reports.
  2. A clean job closes and locks against new Daily Reports.
  3. If something is unresolved, only the Owner can authorize an override — and the reason, plus a billing and report snapshot, is recorded permanently.

An Owner, Admin, or authorized Superintendent can reopen a closed job with a required reason. Every close, override-close and reopen stays in the Completed Jobs record and in its exports.

8.5Storm Mode

  1. Open Admin Controls › Storm Mode.
  2. Tick Storm Mode enabled and name the event — Hurricane Recovery 2026.
  3. Select the participating crews / Foremen.
  4. Choose Save Storm Mode Setting.

New reports from those crews are tagged automatically. Every other crew stays in normal mode, so routine construction and storm restoration run side by side without contaminating each other's numbers.

The Storm Event Dashboard in Production gives the event's totals, with Export Storm Billing, Export Storm Payroll and Print / Save PDF.

Storm Mode organizes, it does not reprice

Turning it on tags records so you can separate storm work later. It does not automatically change pricing or payroll. Storm rates are a pricing and contract decision you make deliberately.

8.6Utility Portal

The Utility Portal lets you share selected contract information directly with a utility or cooperative, so they can see progress without you emailing spreadsheets.

  1. Open the Utility Portal tile.
  2. Choose Create Utility / Cooperative Access and name the organization.
  3. Select which contracts to share and choose Create & Share Selected Contracts.
  4. Use Send Invitation to give their people access.

Shared Organizations lists who currently has access and what they can see. If the tile reads Utility Portal is not enabled, the feature is not switched on for your company.

Part 9

The assistant

A leadership-only helper that reads your company's data and answers questions about it — and a small memory that makes it remember how you work.

9.1Ask Sparky

Who OWNMGRADMSUPGFFMSAF

Ask Sparky sits in the lower-right corner. It is available to active Owner, Manager and Admin accounts only, and protected leadership access requires MFA.

It answers using the screen you are on and permission-safe, read-only company data. It cannot change records. Ask it about a screen you are looking at, or about how something in the app works — it carries the same help this manual is built from.

Offline fallback

Without a connection it falls back to built-in help articles. If it cannot match your question it will say so and suggest naming the screen and the action — "create a job", "promote a Foreman", "import a Price Book", "approve a Daily Report".

9.2Assistant Memory

Open Assistant Memory from the Dashboard, or expand Saved Memories inside the assistant panel.

  1. To save a company workflow, tell the assistant "remember…".
  2. To save a job reminder, open the job first and say "on this job, remind me…".
  3. The assistant prepares a Not saved yet card. Nothing is stored until you choose Save Reminder or Save Workflow Memory.

Saved Memories lists each memory's title, instruction, scope and trigger. A job reminder can be marked complete, and any memory can be removed.

Known limits in this release

There is no Edit button, no date or time scheduling, and no visible audit-detail screen. To change a memory, remove it and save it again. Memories are advisory only — they never edit operational records.

10.2Messages and what to do

These are messages the app actually shows, with what each one means in practice.

10.3Troubleshooting

"My job isn't in the list"

Almost always assignment. A Foreman sees only active jobs assigned to them. Check, in order: is the job active, is it assigned to that Foreman, and did the Foreman refresh after the assignment was made.

"I changed someone's role and nothing happened"

Role and visibility changes do not reach a session that is already open. Have the person refresh the page, or sign out and back in.

"The overtime numbers moved on their own"

Expected. Overtime belongs to the week, not the day. Any correction triggers a recalculation of Regular and Overtime across that employee's whole workweek — 7.1.

"An approved pay period went back to Open"

Someone edited an entry inside it. Approval does not hold; only locking does — 7.6.

"A Foreman can't see dollar values"

By design. Foremen default to Field Money only, and Remaining Units never shows prices. Change it per person at Team › Money Visibility, and check the contract's field adjustment percentage is set — 2.4.

"The quantity at this pole looks wrong"

Saved drafts and submitted reports both reserve quantity, so another Foreman's unsubmitted draft can absorb what looks available. A returned report releases its quantities until it is resubmitted — 4.9.

"An offline JSA never synced"

It lives only on the device that captured it. Open the app on that same device with service, and leave it open until sync confirms. If browser data was cleared, it is gone — 1.8.

"A test notification never arrived"

The permission was declined at the operating-system level. Check the phone's notification settings for the browser or the installed app, then re-enable inside LineCrew Pro.

"Billing doesn't match what we built"

Work the reconciliation panel left to right. Unapproved reports are the usual answer — only approved work reaches Approved Unbilled. Then check whether a packet revision changed the authorization, and whether an adjustment returned units for rebilling.

"We lost the only authenticator"

Recovery is a verified support procedure: identity confirmed through two channels already on file, plus approval from LineCrew Pro. It is deliberately slow. Contact support and expect to prove who you are.
